HOW
TO FORM A STUDENT ORGANIZATION
Listed below are general guidelines students should
following when petitioning to start a new HCC student club/organization:
- Make an appointment with the Student Life Coordinator to discuss
the proposed student clubs/organization mission, learn about required
documentation and explanation of how the petition process works.
- Obtain a copy of he HCC Student Leadership Manual that contains
the institution's policies and procedures that governs student
clubs/organizations and their sponsored activities.
- Find at least ten (10) students who want to join and serve
and founding members.
- Secure a full-time HCC employee, with his/her supervisor's
permission, to serve as the primary advisor.
- Write a Constitution/Bylaws and have the Student Life Coordinator
review it before it officially submitted. A sample constitution
will be provided as a guide.
- Once the constitution/bylaws have been approved by the founding
members and advisor(s), here is a list the required documents
that must be including in the official petition packet:
- Student Organization Charter Form: This is the cover page.
- Student Organization Recognition Form: Outline affiliation
with external HCC associations.
- Advisor Agreement: Completed the student club/organization
advisor(s).
- List of Student Officers: Provides names and other contact
information of the student officers.
- List of Members: List students who agreed to join.
- Financial Verification Form: List who are allowed to sign
student club/organization financial documents.
- Constitution/Bylaws.
- It takes about three (3) weeks to complete the approval process
if there are no objections from the administration. If there are
objections, the club/organization will be contacted, and those
objectionable issues will have to be worked out before the process
can continue.
8. Once the administration approves the petitioning student club/organization
as "Official," the Student Life Coordinator will contact
the president and advisor to inform them of the next steps.
